Tools I Actually Use

loom
I use Loom almost daily in my business. It's such a great tool for client and team communication but I've also used it a lot for making SOPs for myself & my clients using Loom AI. It also hosts my videos that are embedded into my Thrivecart courses.
voxer
This is my main communication tool for working with clients - plus I use it to chat with my friends too when we need to verbally process or share things. Voxer is a free app for your phone (although the Pro version is worth the $4.99/month for the audio transcription). Lets you send voice messages, text messages, videos, images, and links back and forth between two people or a group. I prefer it over Telegram and WhatsApp after using them all. And I 100% prefer it to Slack (my brain doesn't like it)
canva
Canva has been my one of my longest go-to tools in my business - I think from day 1 - and it's only gotten better over the years. If you just need a simple one-page website, I recommend using Canva to host it (make sure you connect your custom domain though!) versus spending money on a website host - this is what I did until this just this year. I find it so easy to use to create my branding & graphics as well as digital products I've helped clients make.
ThriveCart is easily one of the smartest investments I’ve made in my business and I recommend to anyone selling offers online (services, digital products, etc). The main thing I love is that you can get their Standard license for a one-time lifetime offer costing only $495. [I didn't upgrade to Learn+ and Pro until year 3 in my business).
it's my main payment processor for invoicing my clients - I've used it for OBM clients, digital products, one-off intensives, & free events I've hosted. ThriveCart is beginner-friendly but robust, perfect whether you're just starting or optimizing a funnel.
Thrivecart
fathom
Fathom has been a huge help to me since I started using it in early 2025. I've found that Fathom's notetaker summaries and action items captured everything in my meetings/calls so accurately and was so thorough that I was able to focus more on the conversations then worrying about taking notes.
Plus, I love that it hosts the video recordings right on the site so i can use the timestamps in the summary to go back and rewatch parts that i need to review or didn't catch the first time. it integrates well with a lot of the tools i use like Zoom, Airtable, and Zapier. Highly highly recommend.

flodesk
showit
I prefer Showit for a number of reasons but the main ones are: 1) it’s what I’ve used the most over the past 5 years so I know it well; 2) I like the aesthetic their sites produce - they feel ‘cleaner’ & have a ‘crispness’ I like; 3) you edit the desktop & mobile separately, which helps make sure both formats are done right (so many businesses don’t format their mobile site & I notice it all the time); and 4) the blog is hosted through Wordpress but the design is done in Showit - benefit of a Wordpress blog without trying to design with plugins or themes.

I've tried a lot of softwares, CRMs and other back-end tools for running my business but they all felt like they took more time to manage/setup than they were actually useful. However, I found my brain works really well with Airtable. It’s taken some time to learn but after using it with a few clients and testing/playing around in it after watching trainings, it's definitely become my go-to. It houses all of my back-end data and systems. I love it for its automation capabilities, interfaces, and that it integrates with so many different tools.
airtable
alternatives I've used and would recommend:
Instead of Showit → Squarespoace or Systeme.io (website builders in these can have less of a learning curve depending on your tech comfort level/expereince)
Instead of Thrivecart → Teachery (also has a lifetime deal and has a lot of great features)
Instead of Flodesk → Kit (great analytics and segmenting)
Instead of Airtable → Notion (still a database but some like the user experience and apprearance easier to navigate - also has Notion mall for managing yourr inbox and ai capabilies in the paid tier that can do meeting notes like Fatham)
